Change or remove someone's access
Everything here is in Settings → Users, in each person’s row menu. Only an Administrator or General manager can use it, and only an administrator can change another administrator’s role.
Stop access without losing history
Section titled “Stop access without losing history”Deactivate keeps the person and their roles for the history, and stops granting workspace access. The status shows Inactive, and the seat is freed. Reactivate gives the access back from their current roles.
Remove roles (in the roles panel) keeps them active but removes every permission until roles are assigned again.
Delete a person
Section titled “Delete a person”Delete archives their membership of this workspace. They lose access and disappear from the list. Their roles are kept, so a restore from the Archive brings everything back. Their Keelvy account and any other workspace are not affected. You cannot delete your own account here, or the last administrator.
To remove them for good, open Archive, find the person under type User, and click Hard delete. Their role grants, settings, notifications and access tokens in this workspace go, and a linked employee record is unlinked. History keeps every entry they made and names them “Name (removed)”.
Tick Also erase the personal data this workspace holds and history calls them “Former member” with a number instead of their name, and their messages to Skipper here are deleted. That is irreversible. It does not erase their Keelvy account, which is theirs to close.
Rename, change email, reset password
Section titled “Rename, change email, reset password”- Rename sets the display name. Leave it blank to show the email.
- Change email changes how the person signs in. Their password, roles and history stay. For a person who has not accepted yet, the link already sent stops working, so use Send invitation again afterward.
- Reset password sends a link that sets a new password. Their current password keeps working until they open it, and you never see the new one.
Require two-step sign-in
Section titled “Require two-step sign-in”An administrator can require a person to sign in with a second factor before they can enter this workspace. See Require two-step sign-in for a person.
Timesheets for others
Section titled “Timesheets for others”Timesheets lets a person log hours for chosen employees as well as their own linked employee. Administrators and bookkeepers see every employee anyway. It needs the manufacturing capability.
