Count stock

A stocktake snapshots what a location should hold, lets you enter what is really there, and posts one correction per difference. The corrections go through the stock journal with the count as their source, so the trail stays.

  1. Open Warehouse → Stocktake and click New count.
  2. Choose the Location.
  3. Choose What to count: Products, Materials, or Products and materials.
  4. Under Narrow the count, choose which items:
    • Everything on hand
    • Opening / full count (first time): every product and material, including those with no stock yet
    • By collection, By category, By material group or By material category
    • Not counted recently (set the days), Never counted, or Stock below a threshold
  5. Click Start count.

Only one count can run at a location at a time. If someone has already started one, the screen tells you who and when, so you can finish or cancel it first.

Open the count. For each item, type the Counted quantity beside Expected. Entries save as you type. Items you skip stay Not counted and are left alone. Use Only lines with a variance to focus on the differences, and Note to say why.

For a lot-tracked item, each line is a batch. If counted units belong to no batch, you are asked to assign one before posting.

You can also count by scanning: open the scanner from the Telegram bot, choose Count a stocktake, and pick the open count. A stocktake must be started on the web first.

Click Commit corrections. Every counted item with a variance gets an adjustment, and the screen shows the Value of the difference, booked to this period. What you already made or sold keeps the cost it was given at the time. If some corrected items have no cost yet, the figure says it is short of them. Items that came up far short are flagged as worth checking against their specification.

If stock moved while you counted, the count cannot post yet: the screen says how many counted items are measured against on-hand that has changed. Click Refresh figures (your counts are kept), check the variances and post again.

An opening count differs: it overwrites the current on-hand with what you counted, and warns you how many items already had a balance.

Cancel count abandons a count in progress; nothing is posted. A finished count can be archived, and an administrator can restore it. Archiving a committed count keeps its corrections in force until someone deletes it permanently from the Archive, which removes them.
