Quote a job as a project and raise orders from it

A project is the deal before the order: a proposal for a customer, built from your products at prices you set for it, plus materials, work and free text. It suits jobs sold one by one, such as a fitted kitchen, a hotel order or a custom commission. When the customer says yes, you raise orders from it, and the project stays open for the rest.

Projects are not on every plan. If Projects is missing from the Sales section of the sidebar, check Settings → Plan and usage.

  1. Open Sales → Projects and click Add project.
  2. Enter a Title and the Currency it is presented in. The rest is set on the project’s card.
  3. Click Create project.

On the card, set the Customer, the Legal entity, the Expected close and notes. The Stage moves through Lead, Proposal sent, In negotiation, Won, In delivery, Completed, Lost and On hold. You can rename and add stages in Settings → Statuses under Project statuses.

The list has Table, Gallery and Board views. On the board, drag a project to change its stage.

On What we offer, click Add line and choose what the line is:

  • Product: from your catalog.
  • Material: from your materials.
  • Work: a service or labor line.
  • Free text: a sentence with no money on it.

Use Move up and Move down to order the lines, and Withdraw line to take one off the proposal.

To change the total, use Adjustment: a percentage that is negative to discount and positive to mark up, with a Remark that travels with it. The card shows the subtotal, the adjustment and the total.

Presentation mode hides prices and customer details on your screen while you show it to a customer. It only changes what you see. It is not a security setting.

  1. On What we offer, click Draft proposal.
  2. Optionally set Valid until. Leave it blank and the paper names no date.
  3. Click Create draft.

Every offered line goes onto a commercial proposal, with the project’s adjustment and its remark. The draft opens in Documents, where you issue it. See Issue an invoice or delivery note.

  1. Tick the product lines to deliver now.
  2. Click Raise an order.
  3. For each line, enter how many to Take. The dialog shows what is Left on the line.
  4. Click Raise order.

The order appears on the project’s Orders tab. Each order carries its own status and the project keeps its own. The lines show how much has been Ordered and what is Left, so the next delivery comes out of what remains with nobody retyping it. Only product lines can be raised.

On Gallery, click Add from library to attach photographs from your media library, and Make it the cover to choose the one the list shows. A finished project stays in the list as a reference you can open years later.

Archive project moves it to the Archive. Turn on Show archived in the list to find it, and restore it from there.
