Create an order and confirm it

Orders from your shops arrive on their own. Use this for orders your team takes by phone, at a trade show or over email, and for orders you want to correct before they are confirmed.

  1. Open Sales → Orders and click Add order.
  2. Pick a Customer, or leave it empty for a walk-in sale.
  3. Choose the Source (for example Phone or Manual B2B) and, if the order belongs to one of your sales channels, the Channel.
  4. Choose the Currency and Price list. The currency follows the list you pick.
  5. Click Add products, search by name or SKU, and set the quantity for each line.
  6. Click Create order.

Prices fill in on their own. If the customer has their own price list for the order’s currency, that list sets the line prices. Otherwise the channel’s price list does. If a product has no price there, Keelvy asks you to type a Unit price for the line.

To give a discount, open Order discount, choose Percent (%) or Amount, and write the Reason.

Two limits can refuse a line. A product sold in multiples (packs of 6, say) will not take 7. A channel that does not accept hand-entered orders will not take any.

A new order is a draft. It holds no stock and starts no production until you confirm it.

  1. Open the order and click Confirm order.
  2. If your workspace has statuses of its own, choose where the order goes in the Accept into list. Otherwise it becomes Confirmed.

Confirming checks the channel’s minimum order value, picks the warehouse to ship from, and holds the stock. What you cannot cover from stock goes to production. See How orders hold and use stock.

The prices on a line are frozen when the line is added, so a later price list change does not move an order already taken. To pick up today’s list on purpose, use Re-price from the price list on a line, or Re-price all lines.

Until the order is confirmed you can change the customer and the addresses with Customer and addresses. After that the customer is fixed, because the line prices came from that customer’s list and the money belongs to them. The warehouse to ship from is fixed at confirmation too.

Select orders in the list, then use Duplicate to copy each one into a new draft, or Archive to move it to the Archive. Archived orders can be restored from there.
