Add customers and their contacts

A customer is the buying account: a shop, a retail chain, a distributor, a person. A contact is a person who works under that customer. One company can have many contacts, and each contact belongs to one customer.

  1. Open Sales → Customers and click Add customer.
  2. Enter the Legal name and Display name.
  3. Choose the Customer type: B2B wholesale, B2B retail chain, B2B private label, B2C individual, B2C marketplace, distributor, agent or other.
  4. Enter the Country as a two-letter code, the Default currency, and optionally the Source.
  5. Click Create customer.

New customers get a Stage: Lead, Active or Rejected. Change it on the list for many customers at once, together with Type, Source and Price list.

Filter the list by stage, type, source, country and legal entity, or search by legal name, display name or tax ID.

Open a customer. The tabs are Overview, Contacts, Addresses, Pricing assignments, Orders and Documents.

  • Overview holds the legal name, legal type, tax ID, registration number, country, default currency and locale, units system and notes. Terms are covered in Set a customer’s terms and see what they owe.
  • Addresses can be Legal, Shipping, Billing, Warehouse or Other. A customer can have one default address of each type. Documents fall back to the shipping address when there is no billing address.
  • Documents holds files you upload (contracts, agreements) and links to documents stored online (Google Docs, Drive, Dropbox). A link to an uploaded file works for five minutes for anyone who holds it. Reload the page for a new one.
  • Orders lists the customer’s recent orders, newest first.

On the Contacts tab, click Add contact and enter the full name, job title, email and phone.

  • Type the phone in international form: pick the country and write the number as it is written there, or start with + and the country code.
  • Tick Primary contact to show this person in the customer list as the main contact.
  • Set the Primary communication channel: email, phone or messenger.
  • Add other emails, other phones and messenger handles (Telegram, WhatsApp, Viber, Signal, Slack, Discord) and the Preferred language to write to this person in.

To remove a contact, archive it. Click Show archived to list the contacts you archived and Restore to bring one back. Nothing here is lost for good.

Sales → Contacts lists everyone you deal with across every customer. Search by name, email, phone or company, or filter by customer type, source, price list, country, city, tag, orders and last order. Contacts are added on a customer, never on this screen.

On the customers list, Export XLSX downloads customers to a spreadsheet. Import XLSX takes an XLSX or CSV file with the columns legal_name (required), display_name, type, status, country, default_currency, tax_id and source. Rows are matched by legal name: existing customers are updated, new names are created. A new customer also needs type and country. You see a preview with the rows that would be created, updated or skipped before you apply anything.

Archive a customer, a contact or an address

Section titled “Archive a customer, a contact or an address”

Archive customer moves the customer to the Archive together with its contacts, document links and files. Nothing is deleted, and you can restore the customer from there. An address you remove from a customer’s Addresses tab is archived too, and can be restored.

Permanent deletion is only in the Archive, and only for an administrator. See Archive and restore.
