Log hours on a timesheet

A timesheet is the record of who worked when. For people paid by the hour it is also what pays. Open it in Finance & team → Timesheets.

  1. Open Finance & team → Timesheets and switch View to Grid.
  2. Choose the employee. The grid is empty until you do.
  3. Choose the Span: Week or 2 weeks, and the Time window: Work hours or Full day.
  4. Drag across the 15-minute segments to mark worked time, or drag down across days to fill the same window for several days at once. Hold Shift to add to a selection. Dragging over a selection clears it.
  5. Click Fill beside the number of days selected.

Hours already logged show as Already logged, and your new selection as New selection. Days that are already full or outside the save window are skipped, and the screen says how many.

Switch View to List and click Add hours. Choose the Employee, the Date and either Hours (in 15-minute steps, 0.25 h) or Start and End, whichever Entry mode you prefer. Choose the Work: Production or Other work, which gives each person’s split under Total hours. Add a Note.

Use Edit and Delete on a row to correct an entry. The filters narrow by Employee and date range, with quick ranges: This week, Last week, Last 2 weeks, Last 10 days, Last 30 days, 1st–15th and 16th–end.

  • A day cannot exceed 24 hours in total.
  • You cannot save more than a month ahead. Looking further ahead is fine.
  • You cannot save a day before the employee’s start date.

A person with a login linked to their employee record, and the Timekeeper role, sees one screen: their own hours. Link the login on the employee’s card under Login account. If a user is not linked, they see “Your account is not linked to an employee” and cannot log hours.

A person who manages timesheets can log and edit hours for anyone.

  • For someone paid from the timesheet, the hours are pay. See Choose how each person is paid.
  • For everyone else the timesheet is attendance only and adds nothing to pay.
  • Hours beyond the daily or weekly norm are valued by the overtime profile. See Set overtime rules.

Timesheet hours are valued at the person’s rate at the moment you look, not the rate that applied when they worked. If you raise someone’s rate partway through a month, every unsettled hour in it is re-valued. Settle a period before you change a rate.
