Upload photos and organize the library

The media library is one place for every photo, video and file. You upload into it, sort it into folders, and attach it to products from there.

  1. Open Media.
  2. Click Upload and choose files, or drag them onto the page. To upload a whole folder, click Upload folder. Its sub-folders become folders in the library.
  3. Watch the Uploads panel. It shows progress, speed and time left, and you can Pause, Resume or Cancel, and Retry failed.

Files go up in parallel and in the background, and one queue follows you around the app. If the page reloads mid-upload, pick the same files or folder again and the upload carries on where it stopped.

Any file that is not an installer or an executable is accepted, subtitles included. The accepted types and size limits for images, video and documents are listed under Accepted files on the page. A video gets a copy that plays in every browser and a poster frame; the original stays untouched. If storage is full, the message tells you to purge the Archive or ask an administrator to raise the workspace quota.

A file uploaded with no folder open lands in the Inbox, as Unsorted. Files that arrive from a Drive import or by email wait there too. A file you upload while a folder is open stays in that folder.

To sort the Inbox:

  1. Open the Inbox.
  2. Click Sort into folders. Each file is offered a folder based on what Keelvy already knows: its Drive folder, its product’s other photos, a folder named for its brand, or similar photos.
  3. Click Accept on a group, or Change, or Accept all. Files with no proposal stay in the Inbox unless you choose a folder.
  4. Click File … files. It happens as one step, and Undo puts every file back.

New folders you accepted are created for you. See Sort and tag photos with AI for the AI version.

  • New folder creates one. Folders go four levels deep.
  • Right-click a folder to Rename, New sub-folder, Move into…, Sort folders or Archive folder.
  • Use Order of folders to sort by name, date or number of files, or drag them into your own order.
  • Include sub-folders shows the files of the folders below as well.
  • The Inbox is fixed in place and cannot be renamed or moved.
  1. Select files. Select all … matching takes every file the current filters show.
  2. In the action bar choose Move to…, Tag, Add to gallery, Assign to product, Set online or Set offline, Assign role, Mark sorted, Send for review or Archive. You can also drag files onto a folder.
  3. To set the same shot type or tags on a whole folder in one go, use Apply to all files…. It changes the files in the folder now, once, and keeps a different value unless you choose Overwrite. Undo puts the values back.

Set offline keeps a photo in the library but takes it off shops, feeds, galleries and the CDN. Delete moves a photo to the Archive, where an administrator can restore it or delete it for good. A photo used by a product or gallery lists where it is used before you confirm.
