Record what a supplier sells and at what price

Each pairing of a supplier and an item is one row: who sells it, at what price, since when, in what minimum quantity and how fast. A new purchase order reads these rows to fill in the price for you.

  1. Open Warehouse → Suppliers and open the supplier.
  2. Go to Products purchased.
  3. Click Add item.
  4. Choose the Item kind (Material or Product) and the Item.
  5. Enter the Quoted price, the Currency and the Quotation date. The date is required: a price with no date is a number nobody can judge.
  6. Optionally add the Minimum order quantity, Lead time, days, Supplier’s item code (the code on their invoice) and Link to the item on their site. Only http and https addresses are accepted.
  7. If this is who you normally buy from, turn on Our main supplier for this item.
  8. Click Save.

You can also start from the material: open it in Warehouse → Materials, find Suppliers and click Add supplier.

Only one supplier per item can be the main one. Turning it on moves the mark from whoever held it. When you add that item to a purchase order, Keelvy offers the main supplier and fills in the price from their row, marked “quoted” with the date. It leaves the price blank when the quote is in a different currency from the order, and does nothing if the supplier is archived.

The Lead time, days on a row is what the replenishment plan uses to work out the date to order by. It reads the main supplier’s lead time first and, if that row has none, the shortest lead time recorded for the material.

The catalog on the supplier’s card has a Show filter: Everything, Quoted, Bought, never quoted and Ever bought. “Bought, never quoted” lists items you have received from them but never recorded a quote for. Use Record a quotation on a row to fix that.

Tick items in the catalog and click Create purchase order to raise one order for everything selected, or use Order from this supplier on a single row.

Remove offering archives the row. The item stops being recommended for that supplier, and the purchase history stays.
