Send a customer or supplier a statement of account

A statement shows a customer or a supplier what was charged, credited and paid in a period, line by line, with the balance after each line. Send it when you and the other side need to agree on a number.

  1. Open the customer on Sales → Customers (or the supplier on Warehouse → Suppliers).
  2. Find the statement card under the Balance panel.
  3. Choose the period with From and To. The last day counts.
  4. If you have more than one company, choose the Company. Each of your companies has its own statement with this customer, holding only its own documents and payments. The list shows what the partner owes each one.
  5. Click Generate.

You get one document for each currency the partner has used, as a draft in Documents → Documents. Click Open to see it, download it as PDF or Excel, and issue it like any other document. See Download, print and export documents.

Amounts in different currencies are never combined. Each currency has its own statement.

The country of the company that issues it decides:

  • A company registered outside Ukraine gets a Statement of account: charges, credits and payments, the balance due, and its aging.
  • In Ukraine, a company gets a Reconciliation act (akt zvirky). It is a Ukrainian form and is not offered to companies registered elsewhere.

A company whose country issues neither is not offered a statement.

A statement counts the papers that bill: for a US company, issued commercial invoices, less credit notes, less payments. Draft and canceled documents do not count. If the period holds money-carrying documents that do not bill, the screen says how many were left out. If payments went through an account that names none of your companies, it says that too, and those payments are on no statement until you give the account a company. See Add cash and bank accounts.

A payment you recorded and then voided is shown, but not counted.
