Rights and expiry on photos

A photo licensed for one season should not still be selling next year. Record the rights on the photo, and Keelvy withdraws it when they end.

  1. Open the photo in Media and find Rights.
  2. Fill in what you know:
    • Source and Credit line.
    • License.
    • Territories: Worldwide, a region, single countries, or Everywhere except a list. Search for countries and click Add a country.
    • Allowed uses: Own website, Marketplaces, Advertising, Social, Print.
    • Model release: On file, Not needed or Missing.
    • Rights end: the last day the photo may be used.

An empty territory or allowed-uses field means no restriction.

If people appear in the photo, name them under People. Marks are made by hand. Keelvy never recognizes faces; a mark is only what a person says.

  1. Create a date attribute for media. In Settings → Attributes, click Add attribute, choose Media under What does it describe?, and the type Date. See Attributes and what each category asks for.
  2. Open Settings → Media presets and find Usage rights.
  3. Under Rights end date, choose that attribute.
  4. Under Warn this many days ahead, enter a whole number of days, 0 to 365. Each photo whose rights end within that many days gets a task in your queue. Use 0 to be told only on the last day.
  5. Click Save.

The day after the end date, the photo is taken offline. It leaves channel feeds and pushes, the storefront, public galleries and the CDN. Nothing is archived or deleted, and the photo’s drawer says Rights expired.

To bring it back, move the date later or clear it. The photo comes back on its own. A photo you took offline yourself is never switched back on. If you switch an expired photo on by hand, the next daily check takes it off again. The check runs once a day and at once when you change a photo’s date. Days are counted in your workspace timezone.

Use the Rights expired and Rights expiring soon filters to see what is affected.

A file made from another photo, such as an AI edit, receives the original’s rights, and a file never gets looser rights than its original. If rights differ on derived files, the drawer offers Show what would change and Update derived files.
