Keep customers and deals in your CRM

If your sales team lives in a CRM, you do not have to retype customers into it. Keelvy sends the customer, their contacts and an order as a deal, and reads the deal’s stage back. Keelvy stays the place where the order and the stock live.

  1. Open Settings → Integrations and find the CRM group.
  2. Click Connect on HubSpot, Zoho CRM or KeyCRM and fill in the credentials.
    • HubSpot: a private app access token (HubSpot → Settings → Integrations → Private Apps), with the CRM scopes for companies, contacts and deals. You can also set the Deal pipeline ID and Deal stage ID where new deals land.
    • Zoho CRM: choose the Datacentre your account lives in, then the client ID, client secret and refresh token. A Zoho token works only in the datacentre it was created in, so a mismatch looks exactly like a wrong password.
    • KeyCRM: an API key from KeyCRM → Settings → Public API.
  3. Save and press Test.

Each connection declares what it can do, and Keelvy offers nothing the CRM cannot take.

Customer Contacts Order as a deal Deal stage back
HubSpot Yes Yes Yes Yes
Zoho CRM Yes Yes Yes Yes
KeyCRM Yes With the customer No No

KeyCRM carries a buyer’s emails and phones on the buyer itself, so contacts travel inside the customer. It has no deals here.

Sending is done by asking Skipper, or from an assistant you connect over MCP. Ask it, for example, to sync Lumen & Fern Candles to HubSpot, or to push the Lumen & Fern order to HubSpot as a deal. Skipper works inside your own permissions: it needs access to edit customers.

  • Sending a customer is safe to repeat. Keelvy remembers the record it created in your CRM, so the second time it updates that record and never creates a duplicate.
  • An order is sent as a deal. Send the customer first if you want the deal attached to a company.
  • The deal’s stage is set when it is created and never again, so a deal your team has moved is not dragged back. Only the amount and the name are re-sent.
  • To see where a deal stands, ask for the order’s deal stage. Keelvy reads the stage from the CRM as the CRM names it and does not change the order’s status from it. A stage counts as won or lost only when the CRM says so.

If your workspace has more than one CRM connected, say which one. Keelvy refuses to guess, because the wrong guess writes a record into the wrong company’s CRM.

When you erase a person’s personal data, Keelvy cannot reach the copies in your own CRM. An item in your actions queue lists them so you can remove them there. See Erase a person’s personal data.
