Set up warehouses and locations
Stock always sits in a location. A location group is a warehouse, studio or other physical place, and the locations inside it are rooms, aisles or shelves. The group only groups: what may happen in a place, such as production or negative stock, is decided by the location itself.
Add a group and its locations
Section titled “Add a group and its locations”- Open Warehouse → Locations.
- Click Add group.
- Enter a Name and choose the Place type:
- Own warehouse: yours, where you hold and make things.
- Store: a shop.
- Fulfillment: a third party that ships finished goods for you.
- Consignment: goods placed somewhere to be sold.
- Contractor: your stock at somebody else’s workshop, where it is worked on.
- Set the Owner company, which of your legal entities owns the stock held here. A warehouse abroad can still be owned by your own company.
- Save, then click Add location inside the group and give it a name and, if you like, a Placement such as “Aisle 3, shelf B”.
The Code is generated from the name when you leave it blank.
New locations start with the group’s defaults for Production and Negative stock, and then decide for themselves.
Decide what each location allows
Section titled “Decide what each location allows”On a location, switch on or off:
- Production: production orders can be assigned here. Own warehouses and contractors allow it by default; the other place types do not.
- Negative stock: choose Follow the warehouse, Allow going negative here or Never go negative here. A contractor’s shelf defaults to never, because you cannot cover a gap in a workshop you do not own.
- Show on the product card and Show on the material card: whether the location appears in the stock list. A shop counter usually does not belong on a material card. The stock it holds still counts everywhere else.
- Maximum production workers: how many can work there at once.
Say how much a place holds
Section titled “Say how much a place holds”Under Capacity, enter the inner length, width and height (or a volume in liters) and the Maximum weight, kg. Leave it blank for no limit. A rack of five identical shelves is one location with How many identical set to 5.
Keelvy shows how full a location is, and warns when a receipt or transfer would overfill it, but never blocks it. For that to work, materials need a size and weight of one unit on their card. A material without them shows as “not measured”, never as zero.
Set the default locations
Section titled “Set the default locations”Click Defaults to choose where each flow starts when nobody picks a location: Default receiving location for purchase orders, Default sales location for finished goods, Default production location, and the disassembly source and output. A new sales channel starts from the sales default.
Pause or archive
Section titled “Pause or archive”- Deactivate stops a location accepting anything new while everything already there carries on.
- Archive keeps the movement history. Archiving a group archives its locations; restore the group from the Archive to bring them back.
