Share photos with a client gallery

A gallery is a set of photos, videos and files you send as one link. A buyer opens it in a browser, with no account, and downloads the sizes they need.

  1. Open Galleries in the sidebar.
  2. Click New gallery.
  3. Type a Name, such as “Autumn press kit”. Add a Description if you like.
  4. Choose a Purpose: None, Press, Retail or Internal.
  5. Under How is it filled?, choose Pick by hand.
  6. Click Create gallery.
  7. Click Add from library, tick files and confirm.

From the library you can also select files and click Add to gallery. In the gallery, Set as cover picks the cover, Override public name replaces the file name visitors see, and drag changes the order. Remove takes a file out of the gallery only. The file stays in the library.

  1. Open the gallery and click Settings.
  2. Switch on Public. Anyone with the link can then view it.
  3. Optional protection:
    • Password protection: visitors enter it to view.
    • Link expiry: the gallery becomes unavailable after this date.
  4. Choose what visitors can download.
    • Tick Allow downloads so they can download files.
    • Tick Allow original files only if they may have the untouched original. When it is off, they get only the sizes you offer under Download formats.
    • Under Download formats, tick the sizes. They come from your media presets. See Delivery presets and per-channel crops.
  5. Click Save, then Copy link.

Save at least one format or allow originals; otherwise nothing could be downloaded. The share link appears after you save.

Visitors can select files, pick a format, and use Download selected or Download all. A very large gallery downloads in parts, and the page says how many files go in each.

Photos that are offline do not show on the public link. The gallery editor tells you how many are hidden. Set a photo online to show it again. The list of galleries marks which are public, which links are live, and which expire within 30 days.

A smart gallery follows your catalog. New photos on the products you choose join it, with no editing.

  1. Click New gallery and under How is it filled? choose Follow a rule, or open a gallery and click Make it smart.
  2. Under Where the photos come from, add sources. A source can be a Collection, Category, Brand, Product line (an attribute value), Model, Product, or Products matching a rule.
  3. Under Which of their photos, narrow by Type, Role, tags that photos must carry, the longest edge in pixels, Alt text in a language, Came from, Online photos only, AI-made photos and attribute conditions.
  4. Under How many photos, choose All of them, Primary photo only or The first few per product, and set an overall maximum if you like.
  5. Under Order, keep the sources’ order or order by Best sellers, Newest, Name or Price.
  6. Check Preview, then click Save rule.

In the gallery, Not this one keeps a photo out of the gallery even though the rule matches it. The rule’s Never these section lists those, with Bring them back. Pin it keeps a photo whatever the rule says. Refresh updates it now. If the gallery is already shared, Keelvy shows who will see how many photos join and leave, and asks you to confirm.

Make it a manual gallery keeps all current photos and stops following the catalog.

Each gallery has Where these files come from. It says whether files are served from your own Cloudinary or from Keelvy’s CDN. See Connect your own Cloudinary.
