Connect a carrier and buy shipping labels

Connect a carrier once, and every order can buy its label, print it and follow the parcel without leaving Keelvy. The label price comes from the carrier for the actual parcel, not from a table you maintain.

  1. Open Settings → Integrations and find the Shipping group. The same carriers also appear as tiles on Settings → Logistics.
  2. Click Connect on your carrier, fill in the account details it asks for (keys, account number), and save.
  3. Press Test. Keelvy checks the account before you rely on it.

You can connect:

  • One account, many carriers: EasyPost, Shippo, Easyship and Sendcloud. Connect your carrier accounts inside the aggregator, and Keelvy quotes every service side by side.
  • Your own carrier account: UPS, FedEx and DHL Express. Keelvy lists the services your account can buy for the route.
  • European brokers: Eurosender and EcoParcel.

For Ukrainian carriers, see In Ukraine: Nova Poshta and Ukrposhta labels.

  1. Open a confirmed order that has not fully shipped, and click Create shipping label. If it says shipping labels are unavailable, check the carrier connection.
  2. Check Where it goes and Recipient. They fill in from the order’s address.
  3. Under Parcel, enter the weight and size, and which units of which lines go in this parcel.
  4. Under Value and payment, set the Declared value, whether to Insure for the declared value, and who pays for delivery.
  5. Click Get price. Where the carrier has several services, pick one from Service. Each shows its price and days in transit.
  6. Under After the label, choose whether to leave the order’s status alone or mark it ready to ship.
  7. Click Create label.

Stock moves when the carrier scans the parcel, not when you buy the label. The order is marked shipped by that scan.

If the delivery method on the order promises a particular service and you pick another, the form tells you.

On the order’s Shipping labels card:

  • Print label gives the sizes your carrier supports: 4×6, 100×100, 85×85, A4 or a ZPL file for thermal printers.
  • Refresh status reads the carrier’s tracking. A parcel moves through Label created, In transit, Awaiting pickup, Delivered, Delivery problem and Returning.
  • Cancel label cancels at the carrier. Some carriers cannot be canceled from Keelvy. In that case, cancel in the carrier’s account and record why, so the history and the charge stay right.
  • Book courier asks the carrier to collect parcels, on carriers that offer it.

What the carrier charged for each label is recorded, and the P&L shows it as Shipping paid.

A parcel that leaves the carrier’s country carries a customs declaration built from the order’s lines: each product’s HS code, country of origin, quantity, value and weight.

  • Add the HS code and country of origin to the product first. A line without an HS code stops the label, and an origin is never guessed.
  • Choose who pays duties (The buyer (DAP) or Us (DDP)) and Why it travels: sale, gift, return, repair or other.
  • Under Commercial invoice, leave Built by the carrier, or pick an issued invoice of this order to send yours. UPS, FedEx and DHL Express send it to customs instead of their own.

For a parcel that was sent to a door address, open More actions → Return label. Enter where the parcel comes from and where it goes back to, check the price, and create it. Return labels are available through EasyPost, Shippo, Easyship, Sendcloud, UPS, FedEx and DHL Express. A parcel sent to a locker or a branch has no address to collect from, so it cannot start a return label.
