Take packing materials from stock when an order ships
A packaging rule says what leaves the warehouse with a shipment besides the goods: the box, a leaflet in the buyer’s language, a master carton, a pallet. Keelvy takes it from stock when the order ships, so your packaging stock stays true without anyone adjusting it by hand.
Add a rule
Section titled “Add a rule”- Open Sales → Packaging rules and click Add rule.
- Give it a Name.
- Under Applies to, choose All products, One category or One product. This is where the units the rule counts come from.
- Under When it applies, narrow it if you need to. Leave a condition empty to mean any.
- Channel or Customer: a wholesale account that takes no retail insert gets a rule of its own.
- Destination country: a two-letter code, such as
PL. - Order total from: applies only to orders in the currency you choose. Nothing is converted.
- Order units from: counts every unit on the order, not only this shipment.
- Under Materials, click Add material. For each one pick the material, the Quantity, and how it is Counted:
- Per order takes it once for the whole order.
- Per unit takes it for every unit.
- Per N units takes it once for every N units, rounded up (for example one leaflet per 6 candles: 7 candles take two).
- Per shipment takes it once for every parcel.
- Click Create rule.
Choose the counting basis carefully. If it is wrong, the stock count drifts without any warning.
Decide whether a missing material stops the shipment
Section titled “Decide whether a missing material stops the shipment”Each material has Blocks shipment. When it is on and the material is out of stock, the shipment cannot go: A required material is short … The shipment cannot go out until it is restocked. When it is off, Keelvy skips the material and the parcel still goes. The skipped draw is listed on the order as Not consumed.
When you confirm an order, Keelvy also holds these materials, so two orders confirmed the same afternoon cannot both claim the last box.
Which rule wins
Section titled “Which rule wins”Rules at different levels add up: an all-products rule and a rule for one category can both apply. Within one level, the most specific match wins. A rule with every condition empty is the default. Priority only breaks a tie between two equally specific rules. It never outranks a channel or a destination.
See what a shipment used and correct it
Section titled “See what a shipment used and correct it”Open the order’s Line items tab. What the shipments consumed lists each material, the quantity, the rule behind it and whether it was Consumed, Not consumed or a Correction.
If a packer used a different amount, click Correct, enter the Actual quantity (zero reverses the draw) and a Reason, then Post correction. A correction never rewrites the original draw. It adds a compensating movement beside it, and both stay in the stock journal.
Archive a rule
Section titled “Archive a rule”Archiving stops the rule applying to new shipments. What it already consumed stays on record, and you can restore the rule from the Archive.
