Order what is running low

Keelvy never orders for you. It tells you what is short and puts a draft purchase order in front of you, and you confirm it.

On a material’s card, enter Minimum stock. A material below that figure is “low”.

  1. Open Warehouse → Materials.
  2. Open the Low stock filter and choose Below minimum stock.
  3. Tick the materials.
  4. Choose Create purchase order.

For each material, the main supplier and their last quoted price are offered. If a material has no supplier recorded, the order line says so instead of recommending anyone. Add one first. See Record what a supplier sells and at what price.

Warehouse → Replenishment plan projects stock, open purchase orders and unfinished production day by day. For each material it shows the day the minimum is breached, the day it runs out, the lead time and the date you have to order by. See Plan what to reorder and when.

When a production order is short of materials, open it and click Plan the purchase. Keelvy drafts purchases for the missing materials from their main supplier, and tells you which materials are already covered by an earlier draft.

  1. Open Skipper and go to Scenarios.
  2. Click New scenario.
  3. Under When it runs, choose Daily (set the Time) or Every few hours.
  4. Under What it does, choose Plan work for low stock.
  5. Set Top up to minimum ×. A value of 2 orders enough to bring each material back to twice its minimum.
  6. Click Save rule.

Each run drafts a purchase order per supplier for the bought materials that are low. A material you make gets a planned production run, plus drafts for what that run lacks. Nothing is confirmed, started or sent. Materials with no main supplier are counted as “no preferred supplier” in the run result.

The scenario runs as you, under your permissions.
