See what customers owe and what you owe suppliers

Each customer and each supplier has a running balance: what has been charged, what has been paid, and what is left. It answers the same question from both sides. A customer’s balance is what they owe you. A supplier’s is what you owe them.

  • On a customer’s card in Sales → Customers, in the Balance panel.
  • On a supplier’s card in Warehouse → Suppliers, in the same panel, with a Transactions table beneath it.

Both need Finance switched on and permission to see finance. Without either, the panel is not shown.

For each currency the partner uses, you see Charged, Paid and Outstanding. The label beside it reads Owes you or You owe while something is open, Settled at zero, and In credit when payments exceed charges. View payments lists the payments behind it.

Amounts in different currencies are never added together. A partner who deals in two currencies has two lines, and the panel says Per currency.

  • For a customer: issued invoices (the paper your selling company’s country uses to bill), less credit notes. Draft and canceled invoices are not charges. See Issue an invoice or delivery note.
  • For a supplier: confirmed purchases. A purchase order that is canceled or not yet committed is not a charge.
  • Paid: the payments you recorded, net of money paid back. See Add cash and bank accounts.

If payments exist with no open charge behind them, the panel says so. For a customer, that money sits with you as a credit on their account. For a supplier, it is a refund or credit with them.

The Transactions table on a supplier’s card lists the last 12 months of purchases, credits and payments in the order they happened, with what you owed after each, an Opening balance and a Closing balance. A reversed payment is shown, marked Reversed, and left out of the balance. If some documents are not counted because their type does not create a payable, the table says how many.

For any other period, or to send the figures to the other side, draw up a statement.
