Receive goods

Receiving turns an order into stock. Each receipt posts a stock movement, moves the material’s cost and advances the order to Partly received or Received.

  1. Open the order in Warehouse → Purchasing. It must be Confirmed, In transit or Partly received.
  2. Click Receive.
  3. Choose the Stock location. If you set a default receiving location, it is already chosen.
  4. For each line, enter the quantity in Received. The drawer shows how much remains.
  5. Click Receive into stock.

You can receive less than ordered. The rest stays on back-order, and you receive it later with the same steps. Receiving more than is outstanding is refused, even when two people receive the same line at once.

If a material is lot-tracked, enter a Batch no. for it, as printed on the box. Without one the receipt is refused. You can also enter Supplier’s batch (from their paperwork) and Best before. The supplier’s batch number is what you search for later if the supplier recalls it. See Trace a batch back to its raw materials.

For a line with problems, enter the number in Defective, then choose Why held: Defective, Wrong item, Overshipment, Damaged in transit, Expired on arrival, Below specification or Other, and add a Note (“Crate 3 crushed”).

Defective units do not enter stock and are not valued as inventory. The supplier still owes them on this order. Nothing is sent back by recording them. They wait in Warehouse → Receipt decisions until someone decides. See Decide what happens to defective deliveries.

The good quantity lands in stock at the price on the line, converted into the material’s own unit and cost currency, and blended into its actual cost. See How a purchase changes what a material costs.

On the order, Attached documents holds what came with the goods: the supplier’s invoice, a certificate of analysis, a signed packing list, a photo of damaged packaging. Click Open in documents to file more.

Move the order back to In transit or cancel it, and the receipt’s stock movements are reversed. If the goods were already used, the reversal is refused.
