Record a stock movement and read the journal

Stock never changes by typing a new total on a material. It changes through a movement, and every movement keeps its reason, who recorded it and what it cost. Warehouse → Stock movements is the journal of all of them.

  1. Open Warehouse → Stock movements.
  2. Click Record movement.
  3. Choose the Location, add the materials with Add materials, and for each enter Quantity change: a positive number brings stock in, a negative number takes it out.
  4. Choose the Reason: Inventory adjustment (a recount corrected the figure), Damaged, Sample, Gift, or Transfer in and Transfer out (the two legs of a bin move inside one company).
  5. For a material that is lot-tracked, choose the Batch the units belong to.
  6. Add Notes and click Record.

All lines of one movement are recorded together or not at all.

If the location does not allow negative stock and you take out more than is there, the movement is refused and tells you what is available. A location that allows it lets you tick Allow this movement to go below zero.

Receipts, sales, production and counts post their own movements from where they happen. Use this dialog for the rest. To start with a balance, use opening stock rather than an adjustment.

For Damaged, choose the Write-off type:

  • Routine spoilage: the value stays with the units that survived, so the material’s cost rises.
  • Abnormal loss: the value is booked as a loss and never reaches product cost.

Fire, theft or a dropped pallet is abnormal. Material that goes off in normal storage is routine.

The journal lists date, item, location, movement, quantity, who recorded it and the source. Filter by Type, Item, Batch, Location, Reason and Date, or search by item name or SKU. A movement made by an order, purchase, stocktake or production run links to its source: click Open source.

  • Cancel movement posts a reversing entry that restores the stock. The original stays, marked Canceled, and the reversal itself can be reversed. Manual movements, sales and transfers can be canceled. A movement from an order, purchase, stocktake or production is undone by changing that record.
  • Delete movement takes the movement and its correcting entry out of the journal without changing stock. An administrator can restore it from the Archive. It is refused for movements created by another operation (remove that first), for ledger-only entries, and for ones a sales channel has used.

Restoring a canceled movement is refused if it would take the location below zero.

To correct a single quantity in place, use the stock matrix instead. See See stock across every location.
