Ship an order in one or several shipments

An order can leave in as many shipments as it takes. Each shipment has its own contents, its own tracking number and its own packing materials.

  1. Open the order. It must be confirmed, in production, ready to ship or partially shipped.
  2. In Dispatch a shipment, enter how many units of each line go in this parcel. The field shows the most you can send (up to …).
  3. Enter the Tracking number, or add it later. A Tracking link must be a full address starting with https://; without one, the carrier’s own tracking page is used.
  4. Click Dispatch shipment.

Dispatching takes the units out of stock. If any line in the parcel is wrong, nothing moves. A packing material your packaging rules mark as required and that is out of stock stops the shipment before anything leaves.

When the last unit has left, the order becomes Shipped. Until then it reads Partially shipped.

If a line is made to order, its production order must be finished before the line can ship: Cannot fulfill — production order … is not finished yet.

In the Packing section, click Suggest packing. Keelvy picks the smallest box in stock that fits what you are sending, shows how full it is, and gives the order to lay items in, bottom to top. Fragile items are marked, and Keelvy warns when one would lie under a heavier item.

  • An item with no size on the product, or one no box in stock can hold, appears under Not boxed with the reason. Add sizes and weights on the product.
  • An item with no weight is boxed, but the box’s load limit is not checked, and the suggestion says so. A suggestion decides nothing until you ship. Click Use this packing to record the parcels with the shipment (enter the weight of each one), or choose Ship without parcels. If you change the quantities after a suggestion, ask again.

Click Print order and packing list for a slip with the items, the suggested boxes, the packing materials and the delivery details. To print slips for many orders at once, see Download, print and export documents.

For a large order, the Palletization card estimates pallets, gross weight, volume and master cartons. It needs a pallet type: add one in Settings → Logistics. Lines with no master-box size or no weight are left out, and the card says so.

If a carrier is connected, buy the label from the order’s card and the carrier’s scans move the stock and the order status for you. See Connect a carrier and buy shipping labels.
