Add an employee

An employee record does three jobs: it prices labor on production orders, it holds the person’s pay settings, and it links to the login they use to log hours. Add people to Finance & team → Employees.

  1. Open Finance & team → Employees.
  2. Click Add employee.
  3. Enter the First name and, if you like, the Last name.
  4. Click Add employee.

Everything else is set on the person’s card, and saves as you type.

Open the person. The card has three sections.

The person: Position, Start date, Login account, Active and Notes.

  • Position is the job role, such as Candlemaker or Finisher. It sets the rate that specifications are costed at. See Set up positions and rates.
  • Start date matters because hours cannot be logged before it.
  • Login account links the person to a user. A person with a login can log their own hours, and only their own. Each user can be linked to one employee.

How this person is paid: the pay model and the figures under it. See Choose how each person is paid.

Tax and settlement: Engagement and Tax profile. See Settle payroll.

Below these sit the payroll balance, the breakdown of how it was worked out, payments, and the person’s Work schedule. If the person is marked on photos in the media library, Photos lists them.

The list shows Position, Hourly rate, Balance and Status for each person (Active, Inactive or Archived). Search by name, or Show archived. Archive removes a person from the list without losing their history, and Restore brings them back.

You need permission to see pay to see the rate and balance columns. See Who can see pay.
