Write off or sell a material

Sometimes a material leaves without going into a product: you sell leftover wax to another maker, or a batch goes off. Both go through the stock journal and both are costed.

  1. Open Warehouse → Materials.
  2. In the row menu of the material, choose Utilize / sell.
  3. Under Operation, choose Sell or Utilize.
  4. Choose the Warehouse and the location, enter the Quantity and the Unit. For a lot-tracked material, choose the Batch the units come out of; read the number off the box.
  5. For a sale, enter the Unit price (optional), the Currency and the Account the proceeds land in, and name the buyer under Buyer / disposal. For a write-off, use the same field to note the reason for disposal.
  6. For a write-off, choose the Write-off type (below).
  7. Click Record sale or Write off.

A warehouse that holds none of the material and does not allow negative stock refuses the entry.

The write-off type decides what happens to the value of the units:

  • Routine spoilage: material that went bad in normal storage. Its value stays with the remaining stock, so the cost of what survived rises.
  • Abnormal loss: fire, theft, an accident, a dropped pallet. The value is booked as a loss and never added to product cost.

The same choice appears on a manual stock movement marked Damaged and on a correction in the stock matrix.
