Record a retail partner's sales and stock
A shop that sells your goods on consignment tells you what sold and what it still holds. Keelvy reads that report, matches the lines to your products by barcode or the partner’s code, and records orders and returns instead of you retyping them.
Set up the partner channel
Section titled “Set up the partner channel”- Open Sales → Channels and click Add channel.
- Choose type Import.
- Under Connection, click Connect a shop and choose Sales Import. There is nothing to connect: reports arrive in your Inbox.
- Under Partner’s addresses, enter the addresses (
shop@partner.com) or domains (@partner.com) the partner writes from. Anything from them is read as their report. - Choose Partner sales land as: Completed records each sale as delivered on the day the partner sold it, so it counts in that period. Draft keeps sales waiting until someone records them as sold.
- Turn on Post when every line is matched if reports in a known format should post by themselves. A report AI had to read, or one with an unmatched line, still waits for you.
- Set Import orders from to skip anything reported before a date.
- Save.
Create a place for the partner’s stock
Section titled “Create a place for the partner’s stock”Under Warehouse → Locations, add a location of type Consignment for each of the partner’s stores. Their sales reduce stock there.
Send the reports
Section titled “Send the reports”A report can be a spreadsheet, a PDF, a photo, or a plain message. It reaches the workspace in any of these ways:
- Emailed to your workspace’s own address, from an address you listed. You find the address under Settings → Inbox.
- Sent to your Telegram or Slack bot.
- Dropped in the Inbox and filed as A partner’s sales or stock report, choosing the Partner channel.
A new spreadsheet layout is read once by AI and remembered. Text, PDFs and photos are read line by line. Anything AI read waits for your check before it posts, and shows Read by AI — check, then apply.
Review and post
Section titled “Review and post”Open Sales → Channels and switch to Sales feed. The screen has four tabs.
- Import runs lists each report. Apply posts a sales report. Reconcile posts a stock report.
- Review queue lists lines that matched, did not, or need review. Click Map product on a line.
- Store mappings: map each partner store to the stock location its sales deduct from. A store appears after the partner’s first report.
- Map products: every code the partner has sent is listed once. Pick the product behind each, once, and every later report matches by the code and the waiting lines are resolved. Accept all suggestions takes only codes where one product reads like the article through its SKU, old article or vendor code. Nothing is mapped until you press it.
What a report does
Section titled “What a report does”- A sale reduces stock at the store’s location and is recorded as an order for that store and day.
- A return restocks and takes the sale back.
- A stock report reconciles the partner’s on-hand figure. If the partner holds fewer units than your books say, the difference is booked as unreported sales, because under consignment those units are owed for. If a later report includes the sale lines, they are moved onto the day they sold and not counted twice. A partner holding more than your books say is adjusted, and an item goes to your actions queue to look at.
- A large difference is flagged for your review and nothing is posted.
If a day is in a closed period, the sale moves to the first open day and the order says so.
If earlier feed orders are still drafts
Section titled “If earlier feed orders are still drafts”A banner reads {count} earlier feed orders are still drafts: record them as sold. Record as sold books each as delivered on its own sale day. Stock does not move again. This cannot be undone in one step.
